Build a Content Operations System

Learn how to build a scalable content operations system for your company or agency.

Build a simple, scalable content system that centralizes requests, tracks campaign work, aligns to objectives, and keeps the team coordinated from brief to publish.

What is Stackby for Content Operations?

A Content Operation stack organizes the end‑to‑end workflow—intake, planning, production, approvals, publishing, and results—into linked tables and role‑based views. Teams capture requests, manage deliverables, coordinate campaigns, align to objectives, and report on progress without hopping tools.

Build Your Content Database

Start by creating a new Stack (database) tailored for content operations. Define core columns for each table, such as content title, type, status, deadlines, owners, and distribution channels. Use or customize a ready-made template to speed up setup.

Add these tables and customize the columns:

  • Objectives - Always start by adding all your marketing objectives

  • Campaigns - Add campaign ideas & details based on the marketing objectives

  • Content - Add content pieces (blog, eBook, landing page), linked to particular campaigns and objectives

  • Clients - Add all client details if you’re running a marketing agency

  • Team - All your team members associated

Note: You can import your existing campaigns, content or clients data from CSV, Excel or Google Sheets and fill the tables with your pre-existing data.

Visualize and Track Workflows

Choose the right views—Kanban for editorial pipelines, Calendar for deadlines, or Gallery for asset libraries—to see your content progress at a glance.

You can also bring data via sharable forms for content or campaign requests and populate your tables automatically.

Link tables (Content ↔ Campaigns ↔ Objectives ↔ Team) and add Lookups/Aggregations/Count to surface KPIs like “Assets per campaign,” “Next publish date,” and “Workload by owner.”

Bring in Data via API Connectors (Optional)

Stackby lets you pull in live metrics from SEO tools like Ahrefs, SEMrush, Google Analytics, YouTube, Google Search Console and more using pre-built connectors. Bring campaign data, visitors data, search data, video & channels data directly in your tables via these connectors ensuring your data is always up-to-date and actionable.

Setup Workflow Automations

Leverage Stackby's no-code automations to streamline repetitive tasks. Set triggers such as new row creation or status changes. Configure actions like automatic notifications, scheduling, updating records, or sending emails—directly from within your database. Automations can alert stakeholders, assign new tasks, or fetch real-time updates from APIs without manual effort.

Supercharge with AI fields

Leverage Stackby’s AI fields to connect to OpenAI, Gemini or Anthropic models and generate content like content briefs, captions, campaign ideas or even make compelling blogs & assets.

Collaborate and Communicate

Harness Stackby’s real-time collaboration: use comments, @mentions, checklists, and reminders at the row level to keep everyone aligned. The transparent, communicative setup ensures every stakeholder is aware of progress, feedback needs, and upcoming deadlines.

Build Content & Campaigns Dashboards

After setting up your core content databases and integrations, use Stackby’s Apps Marketplace to create custom dashboards. Add chart apps (bar, pie, line, radar, etc.), summary boxes, and pivot tables to visualize your data instantly.

Dashboards can coexist alongside your content workflows in the same stack, giving stakeholders an always-fresh, high-level overview without leaving the workspace. This helps teams make better, faster decisions and showcase outcomes clearly to executives or clients.

Monitor, Iterate, and Optimize

Keep tracking content performance metrics by connecting to analytics tools. Regularly review KPIs and discuss outcomes in-team to iterate on processes. Save new workflow templates for reuse, giving each new campaign a strong, consistent start.
