Share the right data with anyone

Make collaboration effortless without exposing more than necessary. Share focused, read-only slices of your data, keep sensitive fields hidden, and let updates flow automatically—so partners and stakeholders always see the latest, without needing full access.

A shared view link is a secure, read-only link to a specific view in your table. It reflects filters, sorts, hidden fields, and grouping you’ve configured—so recipients only see what that view shows. Any changes to the underlying data appear automatically in the shared link, with no re-sending required.

1. Stay in control of how you share.

Decide who gets access and how:

  • Limit access to specific people or domains (when available).

  • Add a password to the shared view when needed.

  • Disable downloads or hide specific fields to protect sensitive data.

  • Revoke access instantly by turning off the link.

Tip: Create a dedicated “External – Client” view with only non-sensitive columns visible.

2. Share only what’s relevant.

Curate each view before sharing:

  • Filter by owner, status, date range, or client.

  • Hide internal fields (cost, internal notes, IDs).

  • Group and sort for clarity (e.g., by status, then due date).

  • Freeze key columns (Name, Status, Due date) for quick scanning.

Tip: Name links clearly (e.g., “Client-X: Campaign status – Weekly”) and keep a master list of shared links for auditability.

3. Updates automatically, so you don't have to

Shared view links are live. When records change—statuses, owners, dates—the link reflects it immediately. No more exporting or re-sharing files; viewers always see the current truth.

Tip: Pair shared view links with synced data (where supported) to maintain consistency across teams and stacks.

  • Open the table and switch to the view you want to share.

  • Configure filters, sorts, hidden fields, and grouping.

  • Click Share view.

  • Set access options (e.g., link access, domain restriction, password).

  • Copy the link to share, or choose “Embed” to place it in a portal or page.
